“Questions about Jesus” Checked – Standard Operating Procedure
Purpose
This process exists to ensure that every individual who indicates on a Connect Card that they would like more information about Jesus is intentionally and consistently followed up with. People matter to us. Souls matter to us. This is our responsibility, and it is too important to overlook or leave to chance.
Scope

Situations: When someone indicates on a Connect Card that they are seeking a relationship with Jesus and would like to know more
Prerequisites
What needs to be in place before starting this process:
- Required access, permissions, or credentials:
- Bri needs access to Planning Center
- Ronnie needs to be communicated on the process
- Rachelle needs to be communicated on the process

Required tools, software, or equipment:
- Workflow created in Planning Center with process steps
- List built in Planning Center to populate people who have marked yes to the question
- Automation set up to trigger and pull from the list, populating names in workflow step one

- Bri needs trained in workflows and have access to texts in Church Center or email

Pastoral staff needs trained on what to look out for if they receive this notification, what the timeline is, and who to communicate progress with

Roles & Responsibilities
| Role | Responsibility |

| Ushers | Check seats for cards after each service. Place them in black box at Welcome Desk |
| Counting Team | Gather cards from black boxes and place them in correct location in Chris’ office |
| Chris Dewar (or designee) | Enters card into system, which then populates into Planning Center |
| Bri Whited (or designee) | Receives notification in Workflow when a new card is submitted that requires action – contact individual and answer their questions. Direct them to a pastor if there are questions they cannot answer. Enter a comment in workflow when they have spoken with guest |
| Pastor | Also receives notification in Workflow. Check notes to see if Bri made contact with guest. Contact guest for further follow-up |
Procedure
Step 1: Card Collection
We need to get the cards to a centralized location.
- Make it as obvious as possible that filled out cards go to the Welcome Desk
- Ushers collect filled cards that might be left in the seats/seat backs
- Counting team collects whatever cards make it into the box
- Cards are delivered to centralized processing location
Important Notes
Critical considerations:
– The Get Connected cards that come from children’s ministry do not have this question, as they have no back. This needs to be addressed.
– Pastors need trained on using workflows and need to be added as possible assignees
– Additional step needs to be added to the workflow
Tips:
– Follow up should occur within 24-48 hours of card submission
– Maintain confidentiality and sensitivity when reaching out to individuals
– Document all contact attempts in Planning Center workflow notes
